At The Dental Hygiene Group, we are committed to protecting the privacy and confidentiality of our clients’ personal and health information. This policy outlines how we collect, use, and safeguard your data in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Personal Health Information Protection Act (PHIPA) of Ontario.

We collect information only as necessary to provide dental hygiene services and maintain our business operations:

  • Directly from you: When you book an appointment, we collect your name, contact information (email, phone, address), and relevant health history.

  • Automatically via our website: We use Google Analytics 4 (GA4) to understand how visitors interact with our site. This may collect your IP address, browser type, and pages visited.

     

2. How We Use Your Information

  • Healthcare Services: To provide and manage your dental hygiene care and maintain accurate patient records.

  • Scheduling: We use Acuity Scheduling to facilitate online bookings. Your data is stored securely on their platform for the purpose of managing your appointments and sending reminders.

  • Communications: We may send clinic updates or newsletters to current clients. You may opt-out of these at any time via the “Unsubscribe” link.

  • Website Improvement: Analytics data helps us improve our online experience.

3. Third-Party Service Providers

We share your information with third-party providers only to the extent necessary to run our clinic:

  • Acuity Scheduling: For appointment management.

  • Google Analytics: For website traffic analysis.

  • Insurance Providers: If you request direct billing, we will disclose necessary information to your insurance company as a health information custodian.

4. Data Security and Retention

We take reasonable steps to protect your information from theft, loss, or unauthorized access. As a regulated health professional, I personally oversee all data management to ensure a “receptionist-free,” secure environment. We retain patient records for the duration required by the Regulated Health Professions Act (RHPA).

Under Ontario law, you have the right to:

  • Access your personal health records.

  • Request corrections to inaccurate information.

  • Withdraw consent for certain uses of your data (subject to legal or clinical requirements).
